Virtual Exhibitor Terms & Policies
Press Play, Not Pause Women's Gathering
Event Dates: November 13–15, 2025
Booth Fee: $300 USD for all 3 days (includes $30 application + $270 balance)
Location: Virtual via Zoom
By submitting your application and payment for a virtual exhibitor booth at the Press Play, Not Pause Women's Gathering, you agree to the following terms:
1. Booth Inclusions
- One (1) virtual exhibitor booth for the duration of the event (all 3 days).
- Exhibitor listing in the digital event guide and on the event website.
- Permission to promote links, offers, or giveaways during designated expo/networking hours in my own virtual booth only.
- Access to connect live with attendees via Zoom breakout room or private Zoom link (depending on format selected).
2. Payment Terms
- A $30 deposit is required at the time of application.
- Once your application is approved, the remaining $270 balance is due by October 30, 2025.
- Early payment of the full $300 is encouraged — exhibitors who pay in full earlier will be included in pre-event promotions, such as featured social posts and spotlight emails.
- Your booth is not officially confirmed until the full balance is received.
3. Cancellation & Refund Policy
- All exhibitor payments are non-refundable.
- If the event is canceled by the organizers, a full refund will be issued within 30 days of the cancellation notice.
- If the exhibitor is unable to participate for any reason (technical issues, scheduling conflicts, etc.), no refunds will be issued.
- Exhibitor slots are non-transferable unless approved in writing by the event organizers.
4. Expectations & Conduct
- Exhibitors are expected to represent their business professionally and respectfully throughout the event.
- Sales pitches must be delivered respectfully and only during designated booth hours.
- The organizer reserves the right to remove any exhibitor who behaves in a way that is disruptive, inappropriate, or harmful to the event community without refund.
5. Tech & Setup Requirements
- Exhibitors are responsible for ensuring their own tech setup is functional (strong internet, working camera/mic, appropriate background).
- If using a private Zoom link, the exhibitor is responsible for managing that meeting space.
- The organizer will provide basic onboarding support and guidelines ahead of the event.
6. Marketing Materials
- Exhibitors are responsible for submitting all promotional assets (logo, blurb, and any optional downloads or offers) by the deadline provided after acceptance.
- Failure to provide materials by the deadline may result in exclusion from the digital event guide or website listing.
7. Liability
- Press Play, Not Pause and its organizers are not responsible for any technical difficulties, loss of sales, or attendee engagement levels.
- All business conducted during the event is solely the responsibility of the exhibitor and the attendee.
